ShopFlow — How to Use It
A quick reference for running the board day to day. Also see the in-app "Take the Tour" button for a guided walkthrough.
Overview
ShopFlow tracks every job from the moment something's dropped off to the moment it's paid for, on one board with six stages: Intake → Diagnosing → Waiting on Parts → In Progress → Ready for Pickup → Completed. Everything lives in one place — no whiteboard, no separate invoice spreadsheet.
Getting Started
STEP 1
A customer drops something off. Click
+ New Job in the top right, fill in their name, contact info, the item, and what's wrong. It lands in the Intake column immediately.
STEP 2
Click the job card any time to open it. Move it through stages by clicking a different status pill at the top of the job — Diagnosing, Waiting on Parts, In Progress, Ready for Pickup, Completed.
STEP 3
As you diagnose the problem, add parts with
+ Add Part (name and cost) and fill in labor hours and rate. The total updates live as you go — no separate math.
STEP 4
When the customer picks up and pays, click
Mark Paid. That's what feeds the "Revenue (30d, paid)" number at the top of the board.
STEP 5
Need a paper or PDF copy for the customer? Click
Print Invoice inside the job — it generates a clean invoice from the job's actual parts, labor, and total, ready to print or save as PDF from your browser's print dialog.
Common Tasks
Finding a specific job
Use the search bar above the board — it searches customer name, item, and notes at once. No need to know which column a job is in.
Editing parts or labor after the fact
Open the job any time — parts can be edited or removed with the × next to each one, and labor hours/rate are just editable fields. The total recalculates instantly.
Seeing what's stuck
The metrics bar at the top always shows what's actively in progress and what's waiting on parts — the two states most likely to need a follow-up call to a supplier or customer.
